Manage Your Inbox With Delegation In Outlook 2007 Part II

When you delegate access to another user, you can specify the type of access that person will have through permission levels. You can assign a person one of three permission levels, as described below:

Reviewer — delegate can read items in your Outlook folder
Author — delegate can read and create items
Editor — delegate can read, create, modify, and delete items

For example, if you assign a person the Reviewer permission level, he or she will be able to read your messages as well as create/send messages on your behalf.

If you are considering delegation, it may be helpful to understand some of the more common ways that the feature is used.

If you have an assistant, you may want to let that individual view the appointments in your Outlook calendar. You can even grant them permission to add appointments to your calendar and schedule meetings on your behalf. To accomplish this is Outlook 2007:

  1. Within Outlook, click on the Tools menu and select Options. The Options dialog box will appear.
  2. Select the Delegates tab.
  3. Click the Add button. The Add Users dialog box will appear.
  4. Type in the name of the user to whom you want to delegate permission.
  5. Click Add.
  6. Click OK. The Delegate Permissions dialog box appears.
  7. Click the drop down arrow beside the Calendar option and select the Editor option.
  8. Click OK.

Alternatively, if you want the delegate to receive copies of meeting requests sent to you, also click the Delegate receives copies of meeting-related messages sent to me option. If you want the delegate notified of the permission you have just given them over your Calendar, click the Automatically send a message to delegate summarizing these permissions option.
