Delegates In Outlook Part I

Using the Delegates feature in Outlook, you can let another person manage your Outlook tasks for you. For example, another user can schedule meetings, accept or decline meeting requests, respond to your email, etc. on your behalf. This feature is commonly used by those with administrative assistants.

Using the Delegates feature, you can give another user access to any of the following Outlook data:

  • Calendar 
  • Tasks
  • Inbox
  • Contacts
  • Notes
  • Journal

To delegate another user access to your Outlook Data:

  1. Open Outlook. 
  2. Click the Tools menu and click Options.
  3. From the Options window, select the Delegates tab.
  4. Click the Add button.
  5. Select the name of the user to serve as the delegate.
  6. Click OK.
  7. The Delegate Permissions window will appear where you can specify the permissions you want to assign to the delegate.

Oh yea! I do love this feature! It’s one of the first things I train companies to utilize. People delegating their work love it, people getting delegated to….not so much.

One thing I always point out is that checkbox that is active by default that says to send meeting-related messages to the delegate. In many cases, that’s really not what people want. Then I get a call asking why Susan is getting meeting requests that are sent to Bob.

Folks are a little quick on the OK button without reading everything on the page. That’s what I find anyway.
